Introduction
Hello everyone! This is Cameron with ReadySetRetail. I’ll be showing you ReadySetRetail’s Auto Fulfillment Utility. This allows you to use Reorder Points and Target Quantities to automatically make transfer requests.
We’ll go over how to set up the utility, what the settings for the utility do, and how to use the Batch Pick page for a fulfillment plan. Use these timestamps to skip to a specific part you are looking for. All of this information is also available in our support articles on support.readysetretail.com.
Setting up the utility
To make an Auto Fulfillment Plan, we need to first go to the RSR website.
Go to app.readysetretail.com and sign in with your username and password.
Click on “Utilities in the navigation bar and click on “Auto Fulfillment.” This will bring you to the page of your previously made plans with the header “View Auto Fulfillment Plans.” If you don’t already have any fulfillment plans, this page will be blank.
To make a new plan, click on the “Add Auto Fulfillment Plan” button.
Add a connection using the dropdown menu, name your plan, and click on the check box next to “Use reorder points”
Utility Settings
Before we continue with setting this up, let me explain what each of the settings does for this utility.
Mark items as shipped
This will set the quantity shipped to the same number as the quantity requested. If this is unchecked, the quantity shipped value will be zero and will need to be filled out before the transfer can be shipped.
Use overstock supply only
This will only ship item overstock while making a transfer. This prevents the item quantity from the source location from dropping below the target quantity.
Days until due
This sets the number of days until the transfer is due. For example, setting this value to 1 will set the transfer to be due the day after creating the plan, or setting the value to 3 the transfer due date will be in three days. This field is required
Transfer line limit
This sets a maximum number of item lines that are on a single transfer. If you want there to be no limit set this value to zero. If the transfer has more lines than the limit you set it will be split into more than one transfer. This field is required
Batch Prefix
This will add a prefix to the batch ID. This will be visible on the Batch Pick Page of the transfer request.
Source Location
This will be populated with the locations you have under your Heartland account after you choose a connection. This will set the chosen location to be the source of the items when transfers are made.
Location, Vender, and Item filters
These can be used to restrict the transfer made to specific locations, vendors, and items. Each filter line can only handle one setting at a time, so to add a filter for multiple settings you’ll need to add multiple lines. These will auto-populate with settings from your Heartland account and include all of Heartland’s default fields and any custom fields you may have made.
When using location filters, it is recommended to use the “Any” condition when using location # or name to get the best results. If you are using location custom fields then using the “All” condition can work.
The Item filters can use any item value. For example Default Cost, Current Price, Group, Style Name, etc…
Multiplier
This will multiply the recommended value by whatever value you add to this field. For example, you are about to go into a busy season and you want to double the amount of product you are shipping in each transfer. You can put “2” into this field, and every transfer made with this utility will have twice as much product in them. This will only work with whole number values.
Autorun
While enabled, this will run the utility on the specified day and time you have set in the “Day of week” and “Time to run (Eastern Time)” fields. When disabled, the utility will only run when you manually run it. Due to backend processes with Heartland, we’ve run into some issues with running this utility at 7:00 AM on the hour. If you would like to run this around that time, just set it for a minute or two after 7:00, like 7:01 or 7:02, for best results.
Is active
This will activate or deactivate the fulfillment plan. While deactivated, you will not be able to run the plan manually, and it will not auto-run.
Once you have selected the settings you want, click Save at the bottom of the page. If you have it set to autorun the utility should run when it is scheduled to. Otherwise, you can manually run it by clicking on the green “queue for processing” button at the bottom of the page after saving.
Once the Fulfillment plan has been made, you can go into your Heartland Retail account, look under transfers, and see the newly created transfer plans. Each item will have a quantity to ship already attached to it.
Using the Batch Pick Page
The Batch Pick Page is a useful tool that helps with picking items for multiple transfers at the same time. This allows you to change item shipped quantities for each transfer made on a single page. To access the Batch Pick page, you need to click on the “Pick Last Batch” button next to the Fulfillment Plan. This page will show you each bin that was made by the utility sorted by their number, the transfer number, where the items are going to and where they are coming from, the number of each item on hand, and how many are required for the location. On the right side of the page, you will see a number box and an update button under the “Picked” heading. These can be used to change the quantity of each item set for the shipments. If you would like to change the quantity, use the plus or minus sign on either side of the number, or enter the number manually. Once you have inputted the quantity you want to ship, click the update button. This will save your new value. You must use the update button next to the number box you just changed, or it will not be updated. Also, you can only update one quantity at a time. When you look up the transfer in Heartland, you will see the values were automatically updated for you.
