Inventory Adjustment

Our Inventory Adjustment utility is a convenient way to quickly adjust your inventory in bulk.

To begin, start by creating an excel spreadsheet with the following headers:

  • Location

  • Item #

  • Qty

  • Reason

Location: This is where you put the name of the location of your store. If you have more than one location, you’ll put the location of the store where the item is being adjusted.

Item #: In this column put the item # for the item being adjusted.

Qty: The number of items being adjusted.

Reason: In this column you’ll put one of the Reason Codes for your store. If you are unsure of where your reason codes are, refer to this article here. For this you'll want to be looking at the codes for Inventory Adjustments.

Note: when inputting one of these codes into the Excel document, you need to make sure that what is in the document matches exactly how it appears in your Heartland store.

After your Excel document is ready you can upload it via our website.

  1. Go to app.readysetretail.com and sign in with your username and password.

  2. Click on “Upload” at the top of the page and select “Inventory Adjustments.”

  3. Provide at least one email address. These are the email addresses that will receive a confirmation email when the Excel file has been processed.

  4. Select an Import type. The are two available import type settings: Count, and Adjustment.

    Count: Overrides any existing inventory counts and will adjust it to the number reflected in the QTY column; so if your inventory is showing 5 items, and the number in the quantity column is 7, your inventory will be adjusted to 7.

    Adjustment: Adjusts existing inventory counts by the amount in the QTY column. So if your inventory is showing 5 items, and the number in the quantity column is 7, your inventory will show 12 items after being uploaded.

    Note: this utility does support having negative numbers in the QTY column. So for using the Count import type, if a negative number is in that column then your inventory will also be the same negative number. For the Adjustment import type, if a negative number is in that column then it will subtract that number from the inventory amount on hand.

  5. Upload the Excel file you created.

  6. Check the box “Prevent Negative On Hand?” if you want to prevent adjustments of inventory levels in a given location and item from falling below 0.

  7. Shortly after pressing “Submit,” the provided email addresses will receive a confirmation email with an Adjustment Set ID.

  8. The inventory count of the items provided in the Excel file will be updated to the new quantity.
